Students should use an appropriate display name and participate from a suitable location.
We do not routinely record lessons. If a lesson is to be recorded, parents and students will be informed in advance. We will explain:

Recordings will not be used for marketing without separate permission from the parent or legal guardian.

These Terms and Conditions apply when a parent or legal guardian books an assessment or purchases an educational programme from Maths Cool.
Please read them before making a booking.

• Key termsThe four-week introductory programme includes four live online classes of 90 minutes each.

• Every child begins with an assessment so that we can recommend a suitable group and track.
• Joining the introductory programme does not commit you to the year-round programme.
• There is no automatic continuation or recurring payment unless you expressly agree to it.
• Statutory cancellation rights may apply to bookings made online.
• Classes missed by a student are not normally refundable, as the group place and teacher’s time have been reserved.

In these Terms:

• “Maths Cool”, “we”, “us” and “our” mean Maths Cool Education Ltd;
• “you” means the parent or legal guardian making the booking;
• “student” or “your child” means the child participating in the assessment or programme;
• “programme” means an assessment, introductory programme, Maths Circle or other educational service provided by Maths Cool.

2. Who may make a booking
Bookings must be made by a person aged 18 or over who:

• is the student’s parent or legal guardian; or
• has the parent or legal guardian’s permission to make the booking and provide the student’s information.

By purchasing a programme, you confirm that you have authority to enter into the agreement on behalf of the student.
Children should not purchase a programme or submit personal information without the involvement of a parent or legal guardian.

3. Our programmes
Maths Cool provides live online mathematics programmes for students in Years 4–11.
Programmes may include:

• a free initial assessment;
• Enrichment Maths Circles;
• Olympiad Maths Circles;
• the four-week introductory programme;
• year-round Maths Circles;
• workshops, competitions or special courses;
• learning materials and independent practice.

The specific content, schedule, class size, price and duration of each programme will be shown on our website or provided to you before booking.
Our programmes supplement a child’s education. They do not replace school education and do not lead to a state-recognised academic qualification unless we expressly state otherwise.

4. Free assessment
The purpose of the free assessment is to help us understand:

• how the student approaches unfamiliar problems;
• their current mathematical confidence and experience;
• the level of challenge that may suit them;
• whether the Enrichment or Olympiad track is more appropriate.

The assessment is not a formal school examination.
Students do not need to prepare for it unless we provide specific instructions.
After the assessment, we may recommend:

• a particular track;
• a particular group or level;
• further assessment;
• waiting before joining;
• another form of mathematical study.

Completing an assessment does not guarantee that a place will be available in a particular group.
We may decide that our current programmes are not an appropriate fit for a student. Where this happens, we will explain our recommendation to the parent.

5. Group placement
Students are placed according to their mathematical level, readiness, learning needs and motivation rather than age alone.
We take reasonable care when making placement recommendations. However, a student’s needs may become clearer after they begin attending classes.
We may recommend moving a student to another group or track where we reasonably believe that this would provide a more appropriate level of challenge.
We will normally discuss a proposed move with the parent before making it.
A place in a particular group, with a particular teacher or at a particular time is subject to availability.

6. Making a booking
Submitting an enquiry or assessment form does not create a paid contract.
A contract for a paid programme is formed when:

1. we provide the programme details and price;
2. you confirm that you wish to book;
3. you accept these Terms and Conditions;
4. payment is successfully completed or another payment arrangement is agreed; and
5. we send you confirmation of the booking.

The booking confirmation may be sent by email or another durable format that you can save.
Please check the confirmation carefully and contact us promptly if any information is incorrect.
Before an online sale, the business must provide clear information about the service, total price, contract duration, payment and cancellation conditions. A copy of the agreed contract should then be provided in a format the customer can retain.

7. Prices and payment
The price shown when you make the booking is the price payable for that programme, including applicable taxes unless we clearly state otherwise.
The four-week introductory programme currently includes:

• four live online classes;
• 90 minutes per class;
• a small group matched by mathematical level;
• learning materials where relevant;
• teacher feedback;
• a short progress update for the parent.

The price of the introductory programme is £89, unless a different price is clearly stated before purchase.
Payment is normally required in full before the first paid class.
We may use a third-party payment provider. The payment provider may apply its own terms and privacy policy.
If a payment is declined, reversed or remains outstanding, we may delay the start of the programme until payment is received.
We will not add optional charges without your express agreement.

8. The four-week introductory programme
The introductory programme is intended to allow the student and parent to experience the Maths Cool approach before deciding whether to continue.
It does not automatically renew.
At the end of the four weeks:

• the teacher may provide feedback;
• we may recommend a suitable next step;
• we may offer a place in a year-round Maths Circle;
• you may decide whether or not to continue.

There is no obligation to join another programme.
Any continuation, additional programme or recurring payment must be agreed separately.

9. Year-round programmes
Where a student continues after the introductory programme, we will provide the parent with:

• the programme schedule;
• the applicable fees;
• the billing period;
• the cancellation conditions;
• any minimum commitment;
• details of recurring payments, where applicable.

No recurring payment will be taken unless the parent has expressly authorised it.
Where a programme renews monthly or for another billing period, the relevant renewal and cancellation conditions will be shown before the parent agrees to the programme.

10. Class schedules
Class dates and times will be confirmed before the programme begins.
All times will be stated in UK time unless we expressly state otherwise.
Parents are responsible for checking the effect of daylight-saving changes and any time-zone difference where the student is joining from outside the United Kingdom.
Students should join the class on time. A student who arrives late may join the remaining part of the class, but the class will still finish at its scheduled time.

11. Teachers and programme changes
We aim to provide classes with the teacher and schedule originally communicated.
However, we may occasionally need to:

• provide a substitute teacher;
• change a teacher;
• move a class to a different online platform;
• make a reasonable adjustment to the timetable;
• combine or reorganise groups;
• change learning materials;
• change a class date where circumstances require it.

We will provide as much notice as reasonably possible.
A change of teacher will not in itself amount to cancellation where the replacement teacher is suitably qualified to provide the programme.
If we make a significant change that materially disadvantages the student and cannot offer a suitable alternative, you may cancel the affected part of the programme and receive a proportionate refund for classes not provided.

12. Student attendance and missed classes
A student’s place is reserved for the duration of the booked programme.
If the student cannot attend a class, the parent should inform us as early as possible.
More than 24 hours’ noticeWhere we receive more than 24 hours’ notice, we may try to offer:

• a place in another suitable class;
• relevant learning materials;
• another reasonable alternative.

Alternative classes depend on availability and are not guaranteed.
For the four-week introductory programme, we will normally offer no more than one transfer to another class.
Less than 24 hours’ notice or non-attendanceWhere less than 24 hours’ notice is given, or the student does not attend, the class will normally be treated as used and will not be refunded.
This is because the place has been reserved, the teacher has been scheduled and the group class goes ahead for the other students.
Exceptions may be considered in cases of serious illness, emergency or exceptional circumstances.

13. Classes cancelled by Maths Cool
If we cancel a class, we will normally offer:

• a replacement class;
• a rescheduled class;
• credit towards another programme; or
• a proportionate refund.

We will not require you to accept a replacement that is materially unsuitable.
Where we permanently cancel a programme for reasons that are not the parent’s or student’s fault, we will refund the amount paid for the part of the programme that has not been provided.
A business term allowing it to cancel without a valid reason or retain payment for services it has not provided is likely to be unfair. Cancellation rights and remedies should be balanced between the business and the customer.

14. Technical requirements
Students need:

• a stable internet connection;
• a computer or tablet suitable for online classes;
• a working microphone;
• a camera where reasonably required;
• access to the online platform specified by us;
• paper, pens and any other materials communicated before class.

The parent is responsible for ensuring that the student can access the class platform before the first lesson.
We are not responsible for a student’s inability to attend because of:

• problems with their internet connection;
• an incompatible or faulty device;
• forgotten login details;
• local power failure;
• blocked access caused by parental controls;
• failure to install or update required software.

Where a significant technical failure on our side prevents us from providing a material part of a class, we will offer a reasonable replacement, credit or proportionate refund.

15. Online class rules
To maintain a safe and productive environment, students must:

• use an appropriate display name;
• join from a suitable location;
• behave respectfully towards teachers and other students;
• avoid discriminatory, threatening or abusive language;
• avoid sharing inappropriate material;
• follow reasonable instructions given by the teacher;
• protect class links and passwords;
• avoid inviting unauthorised people into the class;
• avoid recording or distributing classes without permission.

Parents should ensure that younger students have appropriate help accessing the class.
A parent does not need to remain visible throughout every class but should remain reasonably contactable while their child is participating.

16. Safeguarding
The safety and welfare of students are important to Maths Cool.
Our approach to child protection and online learning is explained in our Safeguarding Policy.
Parents and students should report any safeguarding concern as soon as possible by contacting:

In an immediate emergency, parents should contact the appropriate emergency service or local safeguarding authority.
We may suspend a student’s participation while we investigate a serious safeguarding, security or conduct concern.
Teachers should not use their private social media accounts to communicate directly with students.
Administrative and educational communication should normally take place through approved Maths Cool channels and, where appropriate, include the parent or guardian.

17. Behaviour and removal from a programme
We will normally try to resolve behavioural concerns by:

1. speaking to the student during or after class;
2. informing the parent;
3. agreeing reasonable steps to improve the situation.

We may temporarily suspend or permanently remove a student where their behaviour:

• creates a safeguarding risk;
• seriously disrupts the learning of others;
• involves bullying, harassment, threats or discrimination;
• involves deliberate misuse of the online platform;
• continues after reasonable warnings;
• seriously breaches these Terms or our Code of Conduct.

Immediate suspension may be necessary where there is a serious safety or security concern.
Where a student is removed, we will consider any refund for unused classes fairly, taking account of the circumstances, the services already provided and any losses reasonably caused by the breach.

18. Parent responsibilities
The parent agrees to:

• provide accurate information about the student;
• tell us about relevant needs that may affect safe participation;
• keep contact details up to date;
• pay the agreed fees on time;
• ensure that the student has suitable technology;
• help the student follow the online class rules;
• communicate respectfully with teachers and staff;
• avoid sharing teaching materials or class access with third parties.

Parents remain responsible for the student’s supervision and general welfare outside the live class.
Maths Cool does not provide childcare or continuous supervision of a student’s home environment.

19. Learning support and additional needs
We aim to create an inclusive learning environment and will consider reasonable requests for adjustments.
Parents should tell us before booking where a student:

• has a disability;
• has a learning difference;
• requires particular communication support;
• has a health condition relevant to participation;
• may need a reasonable adjustment.

We cannot guarantee that every programme or group will meet every student’s needs, but we will discuss what can reasonably be provided.
Providing this information does not automatically prevent a student from joining.

20. Results and educational outcomes
We will provide the programme with reasonable care and skill.
However, mathematical development depends on many factors, including:

• attendance;
• prior knowledge;
• participation;
• independent practice;
• motivation;
• the time available before a competition.

We do not guarantee:

• a particular UKMT score;
• an Olympiad medal or qualification;
• admission to a particular school;
• a specific school grade;
• a particular rate of progress;
• that every student will find every class enjoyable or easy.

Any examples of student achievements describe individual experiences and are not guarantees of future results.

21. Independent practice and homework
Some programmes may include optional or required independent practice.
The programme description or teacher will explain what is expected.
Parents are responsible for providing a reasonable opportunity for the student to complete assigned work.
We may use the student’s work to provide feedback and make decisions about suitable level or group placement.

22. Teaching materials and intellectual property
All worksheets, problem sets, presentations, videos, lesson notes, teacher explanations and other programme materials remain the intellectual property of Maths Cool or the relevant copyright owner.
We grant the student a limited, personal, non-exclusive and non-transferable right to use the materials for their own education.
Materials must not be:

• sold;
• republished;
• uploaded publicly;
• shared with another school or tutoring business;
• used to teach paying students;
• copied or adapted for commercial purposes;
• distributed through public groups or file-sharing services.

A parent may print or save materials for the participating student’s personal educational use.

23. Recording classes
Parents and students must not record, photograph, screen-capture or distribute a class without our prior written permission.
We do not routinely record classes.
If we propose to record a class, we will provide appropriate information in advance, including:

• the purpose of the recording;
• who may access it;
• how long it will be kept;
• whether consent is required.

A recording containing identifiable students will not be used for public marketing without separate permission.

24. Privacy
We process personal information as explained in our Privacy Policy.
Our Privacy Policy explains:

• what information we collect;
• why we use it;
• information relating to children;
• who we share it with;
• how long it is kept;
• your data protection rights.

By providing information, you confirm that it is accurate to the best of your knowledge.

25. Your statutory right to cancel
Where you purchase a programme online, by telephone or through another distance-selling method, you will normally have the right to cancel the contract within 14 days without giving a reason.
The cancellation period begins on the day after the contract is made.
To exercise the right to cancel, you must communicate a clear statement of cancellation to:

You may use the cancellation form at the end of these Terms, but you do not have to use it.
For many services purchased online, consumers receive a minimum 14-day cooling-off period. Where the customer expressly asks for the service to begin during that period, the business may charge a proportionate amount for services already provided.

26. Starting classes within the cancellation period
A programme may be due to begin before the 14-day cancellation period has ended.
Before the programme begins, we may ask you to confirm:
I expressly request that Maths Cool begins providing the programme before the end of the 14-day cancellation period.
If you make this request and later cancel within the 14-day period, we may deduct a proportionate amount for classes and services already provided before cancellation.
If the programme has been fully completed within the cancellation period, you will lose the statutory right to cancel only where:

• you expressly requested that the service begin during the cancellation period; and
• you acknowledged that the right to cancel would be lost once the service had been fully performed.

Official consumer guidance recognises that a service may begin during the cooling-off period following an express request. A consumer can be charged for the proportion already provided, and the cancellation right may end after full performance where the necessary request and acknowledgement were obtained.

27. Refunds following statutory cancellation
Where you validly exercise the statutory right to cancel:

• we will refund payments received for the cancelled service;
• we may deduct the proportionate value of services already supplied at your express request;
• the refund will normally be made using the original payment method;
• the refund will be processed within the period required by applicable law.

There will be no administration charge for exercising a statutory cancellation right.

28. Cancellation outside the statutory period
After the statutory cancellation period has ended, cancellations are governed by:

• these Terms;
• the programme information provided before purchase;
• our Cancellation and Refund Policy.

We will not impose a cancellation fee that is disproportionate to the loss reasonably caused by the cancellation.
A term stating that no refund is available in any circumstances may be unfair. Any amount retained following cancellation should reflect the service supplied and the business’s genuine loss rather than operate as a penalty.

29. Our responsibility to you
We are responsible for providing our educational services with reasonable care and skill.
If we fail to provide a service as agreed, you may have legal rights, including the right to require repeat performance or an appropriate price reduction where applicable.
Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for:

• death or personal injury caused by negligence;
• fraud or fraudulent misrepresentation;
• breach of statutory consumer rights.

We are responsible for loss or damage that is a foreseeable result of our breach of these Terms or our failure to use reasonable care and skill.
We are not responsible for loss that:

• was not reasonably foreseeable when the contract was made;
• results from inaccurate information supplied by the parent;
• results from circumstances outside our reasonable control;
• relates to a business or commercial activity, because our programmes are supplied for personal educational use.

Consumer terms cannot remove a customer’s statutory right to receive services of the legally required standard or exclude liability for death or personal injury caused by negligence.

30. Circumstances outside our control
We are not responsible for delay or failure caused by events outside our reasonable control, such as:

• widespread internet or platform outages;
• power failures;
• severe weather;
• natural disasters;
• epidemic or public-health restrictions;
• government action;
• civil disturbance;
• unexpected serious illness;
• disruption affecting teachers or essential service providers.

We will take reasonable steps to reduce disruption and inform parents.
Where the service cannot be provided within a reasonable time, we will offer a suitable alternative, credit or proportionate refund for the affected part of the programme.

31. Complaints
We aim to resolve concerns fairly and promptly.
A parent should first contact:

• the relevant programme;
• a clear description of the concern;
• the outcome you are seeking.

We will normally acknowledge a formal complaint within five working days.
We aim to provide a substantive response within 20 working days, although safeguarding matters or complex complaints may require more time.

32. Changes to these Terms
We may update these Terms for future bookings to reflect:

• changes to our services;
• changes to technology;
• changes to law or regulatory guidance;
• improvements to the way our programmes operate.

The version accepted when a booking is made will normally apply to that booking.
We will not make a material change to an existing paid programme without a valid reason.
Where a proposed change materially disadvantages you, we will provide reasonable notice and, where appropriate, allow you to cancel the affected future services.
Contract terms that give a business unrestricted power to change an agreed price or important feature of a service may be unfair. Any variation clause should be limited, transparent and supported by a valid reason.
33. If part of these Terms is unenforceableIf a court or relevant authority finds that part of these Terms is unlawful or unenforceable, the remaining provisions will continue to apply.
The affected provision will be interpreted or adjusted only to the extent necessary to make it lawful and enforceable.
34. No transfer by the parentYour booking is personal to the student named in the confirmation.
You may not transfer the programme to another student without our prior agreement.
We may use suitably qualified teachers, contractors and service providers to help deliver the programme, while remaining responsible for our obligations to you.
35. Governing lawThese Terms are governed by the laws of England and Wales.
If you live in Scotland or Northern Ireland, you retain any mandatory consumer protections available under the law of the country in which you live.
You may bring legal proceedings in the courts applicable to your place of residence where consumer law permits.

• free assessments;
• live group classes;
• one-to-one online assessments or lessons;
• Maths Circle programmes;
• communications with children and parents;
• homework and assessment platforms;
• online chats and shared documents;
• recordings, photographs and screenshots;
• student work and competition results;
• marketing involving students;
• concerns arising during or in connection with a Maths Cool programme.

This policy applies whether a child is located in England, Wales, Scotland, Northern Ireland or another country.
Where a safeguarding concern arises, Maths Cool will consider the reporting arrangements and legal requirements applicable in the place where the child is located.

5. Legal and guidance framework
This policy has been developed with reference to:

• the Children Act 1989;
• the Children Act 2004;
• Working Together to Safeguard Children 2026;
• Department for Education guidance for safeguarding children in out-of-school settings;
• relevant safeguarding principles from Keeping Children Safe in Education;
• the Data Protection Act 2018;
• the UK General Data Protection Regulation;
• the Human Rights Act 1998;
• the Equality Act 2010;
• applicable local safeguarding partnership procedures;
• relevant Disclosure and Barring Service requirements.

Department for Education guidance for out-of-school settings specifically includes private tuition, supplementary schools and other activities provided outside ordinary school education.
Keeping Children Safe in Education 2025 remains in force for schools and colleges until 31 August 2026. The 2026 edition takes effect on 1 September 2026. Although Maths Cool is not a school or college, we use relevant principles from this guidance as good practice where appropriate.

6. Definitions
For the purposes of this policy:
Child means any person under the age of 18.
Safeguarding means protecting children from harm, supporting their welfare and taking appropriate action when there is reason to believe that a child may be at risk.
Child protection refers to action taken where there is reason to believe that a particular child is experiencing, or may be at risk of experiencing, significant harm.
Parent includes a parent, legal guardian or another adult with lawful parental responsibility for the child.
Staff includes employees, self-employed teachers, contractors, volunteers, directors and anyone delivering services on behalf of Maths Cool.
Online lesson includes a class, assessment, consultation or other educational activity delivered through video conferencing, chat, shared documents or another digital platform.

7. Forms of harm
Safeguarding concerns may include, but are not limited to:

• physical abuse;
• emotional abuse;
• sexual abuse;
• neglect;
• grooming;
• online abuse;
• bullying and cyberbullying;
• child-on-child abuse;
• sexual harassment;
• sexual or criminal exploitation;
• domestic abuse affecting a child;
• coercive or controlling behaviour;
• discrimination and hate-based abuse;
• radicalisation;
• self-harm or suicidal thoughts;
• harmful or inappropriate online content;
• misuse of photographs, videos or recordings;
• inappropriate conduct by a teacher or another adult;
• a child being left without appropriate care or supervision.

A child may experience more than one type of harm at the same time.
Children with disabilities, special educational needs, communication differences or neurodivergence may face additional barriers when trying to explain that something is wrong. Staff must not assume that a change in behaviour is simply connected to a child’s diagnosis or learning needs.

8. Responsibilities of the Designated Safeguarding Lead
The DSL is responsible for:

• receiving and reviewing safeguarding concerns;
• deciding what immediate action is required;
• making or supporting referrals to external authorities;
• keeping accurate and secure safeguarding records;
• advising teachers and other members of staff;
• managing concerns about adults working with children;
• ensuring that safeguarding procedures are followed;
• arranging appropriate safeguarding training;
• reviewing risks connected with online teaching;
• ensuring that parents can access this policy;
• monitoring patterns of concern across students, teachers and groups;
• reviewing this policy at least once every 12 months.

The DSL is not expected to investigate allegations of criminal conduct or abuse. Such investigations are the responsibility of the appropriate external authorities.
The absence of the DSL must never delay action needed to protect a child. Any member of staff may contact children’s social care, the police or another relevant safeguarding authority directly where necessary.

9. Safer recruitment and teacher checks
Maths Cool will take reasonable steps to ensure that people working with children are suitable for their roles.
Before a person is assigned to teach, assess or have regular direct contact with students, Maths Cool will carry out checks appropriate to the role and the country in which the person lives or has previously worked.
These may include:

• verifying identity;
• confirming contact details and current address;
• reviewing employment and educational history;
• checking relevant qualifications;
• obtaining and verifying professional references;
• discussing unexplained gaps in employment;
• checking the person’s right to work where applicable;
• assessing their experience of working with children;
• completing an appropriate criminal-record check;
• checking relevant barred lists where the role is eligible;
• requesting overseas criminal-record information where reasonably available;
• completing a written risk assessment where a standard check is unavailable;
• requiring agreement to this policy and the Staff Code of Conduct;
• completing safeguarding training before teaching begins.

A criminal-record certificate is only one part of safer recruitment. It does not replace references, identity checks, professional judgement, appropriate supervision or the monitoring of staff conduct.
From 21 January 2026, eligible self-employed private tutors may apply for Enhanced or Enhanced with Barred List DBS checks through a registered umbrella body. Eligibility depends on the nature of the person’s work.
Maths Cool will not describe a teacher as “DBS checked” or make an equivalent statement unless the relevant evidence has been reviewed.
Checks may be reviewed where:

• a teacher’s role changes;
• new information becomes available;
• the law or eligibility requirements change;
• a concern is raised;
• a reasonable period has passed since the previous check.

10. Safeguarding training
All staff who work with children or have access to information about children must:

• read this policy before beginning work;
• complete appropriate introductory safeguarding training;
• understand how to recognise and report a concern;
• understand professional boundaries in online teaching;
• receive regular safeguarding updates;
• complete refresher training where required;
• confirm that they understand material changes to this policy.

The DSL must maintain appropriate role-specific knowledge of:

• referral procedures;
• online safety;
• safer recruitment;
• allegations involving adults;
• low-level concerns;
• safeguarding record-keeping;
• information sharing;
• child-on-child abuse.

Training records will be retained by Maths Cool.

11. Staff Code of Conduct
All staff must maintain clear professional boundaries.
Staff must:

• treat students fairly and respectfully;
• communicate in an age-appropriate and professional manner;
• use approved Maths Cool accounts and platforms;
• direct administrative communication through the parent;
• avoid unnecessary private communication with a child;
• challenge bullying, discrimination and harmful behaviour;
• report safeguarding and professional-boundary concerns promptly;
• protect class links, passwords and student information;
• use appropriate language, clothing and backgrounds during online classes;
• act in a way that supports the dignity and welfare of every student.

Staff must not:

• establish a secret, romantic or inappropriate personal relationship with a student;
• contact students through private social media accounts;
• ask a child to keep a conversation secret from their parent or Maths Cool;
• exchange personal or intimate photographs with a student;
• make sexual, romantic, humiliating or discriminatory comments;
• share inappropriate content;
• arrange private meetings outside the agreed programme;
• record, photograph or screenshot a student without authorisation;
• use threats, intimidation or humiliation;
• ignore behaviour that may indicate abuse or exploitation;
• give a student personal gifts without an appropriate and transparent reason;
• share excessive personal information with a student;
• use a student for personal, financial or emotional support.

A member of staff must report any accidental or unintentional boundary breach promptly rather than attempting to conceal it.

12. Safe online lessons
Maths Cool will use reasonable safeguards to make online lessons safe and professional.

12.1 Approved platforms
Assessments and classes must take place through platforms approved by Maths Cool.
Teachers must not move a student to a private messaging, gaming, social media or video platform without prior authorisation and the parent’s knowledge.

12.2 Parent involvement
Bookings and enrolment must be arranged through a parent or authorised adult.
Parents will be told:

• which platform will be used;
• when the lesson will take place;
• who will teach the lesson;
• how to contact Maths Cool;
• how to report a safeguarding concern.

For younger students and one-to-one assessments, a parent should be reasonably available during the session. The parent does not normally need to remain visible throughout the lesson unless this has been specifically agreed.

12.3 Suitable environment
Teachers and students should join from an appropriate location.
Where reasonably possible:

• the student should work in a shared or accessible family space;
• bedrooms should be avoided;
• a neutral or blurred background should be used where appropriate;
• backgrounds should not reveal private or sensitive information;
• participants should be appropriately dressed;
• household members should be aware that a live lesson is taking place.

Where a bedroom is the only practical learning space, the student should use a neutral background or camera angle and the parent should be aware that the lesson is taking place.

12.4 Cameras and microphones
Teachers may ask students to use a camera or microphone where this is reasonably necessary for participation, communication or safeguarding.
A child will not be required to show private areas of their home or disclose unnecessary personal information.
Where a student cannot use a camera for a valid reason, the parent should contact Maths Cool so that an appropriate arrangement can be discussed.

12.5 Class access
Class links and passwords must not be shared publicly.
Teachers should take reasonable steps to:

• confirm the identity of participants;
• use waiting rooms or passwords where available;
• control screen sharing;
• remove unauthorised participants;
• prevent public access to recordings or chat logs.

12.6 Breakout rooms
Where breakout rooms are used:

• students must receive clear instructions;
• the teacher must be able to enter and monitor the rooms;
• students must have a way to request help;
• private one-to-one breakout sessions must be kept to a reasonable minimum;
• the teacher remains responsible for the educational and safeguarding environment.

12.7 Private messages
Teachers should not routinely exchange private messages with students.
Where direct communication is necessary for an educational or safeguarding reason:

• the message must remain professional;
• an approved account or platform must be used;
• the parent should normally be copied or informed;
• relevant communication must be retained;
• communication should take place at reasonable times.

12.8 Technical and safety incidents
If inappropriate content, an unknown participant or another safety risk appears during a class, the teacher may:

• pause or end the class;
• remove a participant;
• disable chat or screen sharing;
• preserve relevant evidence;
• contact the parent;
• report the matter to the DSL;
• contact an external authority where necessary.

13. One-to-one assessments and lessons
Where a child takes part in a one-to-one assessment or lesson:

• the parent must know the date, time, platform and name of the teacher;
• the session must take place through an approved platform;
• the teacher must use an authorised account;
• the parent should remain reasonably contactable;
• direct communication after the session should normally be sent to the parent;
• the teacher must not arrange additional private contact with the child;
• any safeguarding or professional-boundary concern must be reported.

Where reasonable and appropriate, Maths Cool may use technical settings that allow authorised administrative access to lesson information or attendance records.

14. Recording, screenshots and photographs
Maths Cool does not routinely record live classes.
A session may only be recorded where:

• there is a clear educational, quality-control or safeguarding purpose;
• the parent has been informed in advance;
• the legal basis for recording has been established;
• access is appropriately restricted;
• a retention period has been defined;
• the recording is stored securely.

Recordings containing identifiable children will not be used for advertising, social media or public promotion without separate written permission from the parent.
Students, parents and teachers must not record, photograph, screenshot or distribute a class without prior authorisation.
Where a recording is authorised, participants will be told:

• why it is being made;
• who will have access;
• where it will be stored;
• how long it will be kept;
• whether it may be shared;
• how the parent may raise a concern.

15. Communication with students
Routine communication about the following matters should normally take place with the parent:

• bookings;
• payments;
• schedules;
• attendance;
• progress;
• homework;
• changes to the programme;
• complaints and concerns.

Teachers may communicate directly with an older student for a legitimate educational purpose where:

• the parent has agreed;
• an approved Maths Cool channel is used;
• the communication can be reviewed where necessary;
• messages are limited to the educational programme;
• communication takes place at reasonable times.

Staff must not delete, hide or conceal communication relating to a safeguarding concern.

16. Responding to a child’s disclosure
If a child says that they have been harmed or may be at risk, the member of staff must:

1. stay calm and listen;
2. allow the child to speak in their own words;
3. avoid expressing shock or disbelief;
4. avoid asking leading or investigative questions;
5. reassure the child that they did the right thing by speaking;
6. explain that the information may need to be shared with people who can help;
7. never promise complete confidentiality;
8. record the child’s words as accurately as possible;
9. note the date, time, context and people present;
10. report the concern to the DSL immediately.

The member of staff must not:

• investigate the allegation;
• confront the person alleged to have caused harm;
• ask the child to repeat the disclosure unnecessarily;
• contact the parent automatically where doing so may increase the risk;
• delay reporting while trying to obtain proof;
• make promises about what will happen next.

17. Reporting concerns about a child
Any concern about a child must be reported to the DSL as soon as reasonably possible.
The report should include:

• the child’s name and age;
• the date and time;
• what was seen, heard or disclosed;
• the child’s exact words where possible;
• relevant context;
• any immediate action already taken;
• the name of the person making the report.

The DSL will consider whether to:

• continue monitoring;
• speak with the parent;
• seek advice from a safeguarding professional;
• refer the matter to children’s social care;
• contact the police;
• contact another relevant authority;
• arrange additional support;
• preserve evidence of online harm;
• restrict an adult’s or student’s access to a class or platform.

A safeguarding concern does not need to be proven before it is reported. In England, concerns about a child who may be at risk should be reported to the children’s social care team at the local council. If a child is in immediate danger, 999 should be called.
Where a student is outside England, Maths Cool will consider contacting:

• the emergency services in the child’s country;
• the relevant local child-protection authority;
• law enforcement;
• another appropriate safeguarding organisation.

18. Informing parents
Maths Cool will normally speak with the parent about a safeguarding concern where it is appropriate and safe to do so.
Maths Cool may decide not to inform the parent before contacting an external authority where:

• the parent may be involved in the alleged harm;
• informing the parent may place the child or another person at greater risk;
• evidence may be destroyed;
• an external safeguarding professional advises against it;
• immediate action is required.

The decision and reasons should be recorded.

19. Allegations concerning staff
Any concern that a teacher, director, contractor or other adult working with Maths Cool may have:

• harmed a child;
• possibly committed an offence involving a child;
• behaved in a way suggesting that they may pose a risk to children;
• behaved in a way suggesting that they may be unsuitable to work with children;
• seriously breached professional boundaries

must be reported immediately.
Concerns about a member of staff should be reported to the DSL.
Concerns about the DSL should be addressed confidentially to the Director responsible for safeguarding at the registered office of Maths Cool Education Ltd.
Where appropriate, Maths Cool will seek advice from:

• the relevant Local Authority Designated Officer;
• children’s social care;
• the police;
• the Disclosure and Barring Service;
• another relevant safeguarding or regulatory authority.

Maths Cool will not conduct an extensive internal investigation before seeking external advice where an allegation may meet a formal safeguarding threshold.
Maths Cool may temporarily restrict or suspend an adult’s contact with students while a concern is assessed. Suspension will not automatically be treated as evidence that the allegation is true.
Information will be shared only with people who need it for safeguarding, legal or procedural reasons.

20. Low-level concerns and boundary breaches
A low-level concern is behaviour that may not meet the threshold for referral to an external authority but is inconsistent with this policy or the Staff Code of Conduct.
Examples may include:

• overfamiliar communication;
• contacting a child through a personal account;
• inappropriate humour;
• unnecessary one-to-one communication;
• favouritism;
• sharing excessive personal information;
• failing to follow recording or camera rules;
• giving personal gifts without an appropriate reason;
• communicating at inappropriate times;
• attempting to move communication away from approved channels.

All low-level concerns must be reported to the DSL.
The DSL will:

• record the concern;
• speak with relevant individuals;
• consider whether the conduct forms part of a pattern;
• decide whether advice, supervision, training or disciplinary action is needed;
• consider whether the concern meets the threshold for external referral.

A person will not be penalised for raising a genuine concern in good faith.

21. Child-on-child abuse
Maths Cool recognises that children can harm other children.
This may include:

• bullying;
• cyberbullying;
• discriminatory abuse;
• sexual harassment;
• sharing sexual, harmful or humiliating images;
• threats;
• coercion;
• harmful messages;
• deliberately excluding or targeting another student;
• misuse of group chats, shared documents or online platforms.

Such behaviour will not be dismissed as “banter” or an ordinary part of growing up.
Maths Cool may:

• remove a student from a live session;
• preserve relevant messages or evidence;
• contact the parents involved;
• separate students;
• restrict access to platforms;
• seek safeguarding advice;
• make an external referral;
• suspend or end a student’s participation.

The safety and welfare of every child involved will be considered, including the child alleged to have caused harm.

22. Bullying, discrimination and inclusion
Maths Cool does not tolerate bullying, harassment or discrimination based on:

• race or ethnicity;
• nationality;
• religion or belief;
• sex;
• sexual orientation;
• gender identity;
• disability;
• neurodivergence;
• health condition;
• social or economic background;
• language or accent;
• mathematical ability;
• any other personal characteristic.

Teachers must create an environment in which students can:

• make mistakes safely;
• ask questions;
• disagree respectfully;
• explain different approaches;
• learn without humiliation;
• feel valued as members of the group.

Repeated or serious bullying or discriminatory conduct may result in removal from the programme.

23. Emotional wellbeing and self-harm concerns
Teachers are not expected to diagnose mental-health conditions.
However, statements or behaviour suggesting:

• self-harm;
• suicidal thoughts;
• severe distress;
• abuse;
• exploitation;
• immediate danger

must be reported promptly to the DSL.
Where there is an immediate threat to life or safety, the appropriate emergency service must be contacted.
Maths Cool may inform the parent unless doing so could increase the risk to the child.
Maths Cool is an educational provider and does not replace professional medical, mental-health or social-care services.

24. Safeguarding records
Safeguarding records must be:

• factual;
• dated;
• written as soon as reasonably possible;
• stored separately from ordinary teaching records;
• accessible only to authorised people;
• retained for an appropriate period;
• shared securely where necessary;
• deleted securely when no longer required.

Records should distinguish between:

• what a person directly observed;
• what a child or another person said;
• professional opinion;
• action taken;
• decisions made and the reasons for those decisions.

Relevant screenshots, messages, attendance records or other evidence should be preserved where this is necessary and lawful.

25. Confidentiality and information sharing
Safeguarding information will be shared on a need-to-know basis.
No member of staff may promise a child that safeguarding information will remain completely confidential.
Information may be shared with:

• the DSL;
• relevant directors or managers;
• children’s social care;
• the police;
• a Local Authority Designated Officer;
• medical professionals;
• safeguarding partners;
• legal or regulatory bodies;
• another person where sharing is necessary to protect a child.

The reasons for sharing or not sharing information should be recorded where appropriate.
Data protection law does not prevent necessary and proportionate information sharing where this is required to safeguard a child.

26. Use of children’s images, work and achievements
Maths Cool will not publish a child’s:

• full name;
• photograph;
• video;
• voice recording;
• testimonial;
• competition result;
• school details;
• identifiable work

for public marketing purposes without appropriate permission.
Permission for marketing must be requested separately from agreement to attend a programme.
A parent may withdraw marketing permission for future use by contacting Maths Cool.
Withdrawal may not require Maths Cool to recall materials already lawfully printed or published, but reasonable steps will be taken to stop future use.

27. Parents’ responsibilities
Parents are expected to:

• provide accurate contact details;
• inform Maths Cool about relevant needs affecting safe participation;
• ensure that younger students can access lessons safely;
• remain reasonably contactable during online sessions;
• protect class links and passwords;
• avoid recording or distributing classes;
• treat teachers and students respectfully;
• report concerns promptly;
• supervise the child’s use of devices outside the live lesson;
• ensure that the child understands the basic rules for online participation.

Parents should not ask a teacher to communicate secretly with a child or use an unapproved private account.

28. Students’ responsibilities
Students are expected to:

• treat others respectfully;
• follow reasonable teacher instructions;
• avoid sharing passwords or class links;
• protect their own and other students’ personal information;
• avoid recording or screenshotting lessons;
• avoid sending harmful or inappropriate material;
• tell a trusted adult if something makes them feel uncomfortable;
• avoid contacting teachers through personal social media accounts;
• avoid sharing another person’s image or work without permission.

A student will not be blamed or penalised for reporting a genuine concern.

29. Whistleblowing
Staff should report conduct that may place a child at risk, even where the concern relates to a colleague, manager or director.
A concern may be reported to:

• the DSL;
• the Director responsible for safeguarding;
• children’s social care;
• the relevant Local Authority Designated Officer;
• the police;
• another appropriate external authority.

Maths Cool will not retaliate against a person who raises a genuine concern in good faith.

30. Complaints
A complaint about the quality or administration of a programme should normally be handled under the Maths Cool Complaints Procedure.
A complaint involving:

• possible harm to a child;
• inappropriate adult conduct;
• grooming;
• abuse;
• exploitation;
• a serious boundary breach;
• retaliation for reporting a concern

will be handled as a safeguarding concern rather than solely as an ordinary customer complaint.
Safeguarding action will not be delayed while a complaint is being considered.

31. Policy breaches
Failure to follow this policy may result in:

• additional supervision;
• mandatory training;
• restriction of access to students or systems;
• suspension;
• termination of employment or contract;
• removal from a programme;
• referral to the police;
• referral to children’s social care;
• referral to the Disclosure and Barring Service;
• referral to another appropriate authority;
• other legal or regulatory action.

32. Monitoring and review
This policy will be reviewed:

• at least once every 12 months;
• after a serious safeguarding incident;
• following a material complaint;
• when Maths Cool introduces a new teaching platform;
• when the nature of its programmes changes;
• following relevant legal or regulatory changes;
• where monitoring identifies a weakness in existing arrangements.

The most recent version will be published on the Maths Cool website.

1. About this policy
This Cancellation and Refund Policy explains how cancellations, missed classes, programme withdrawals, rescheduling and refunds are handled by Maths Cool.
It applies to assessments, introductory programmes, Maths Circles and other educational services purchased directly from Maths Cool.
This policy forms part of our Terms and Conditions. Nothing in this policy limits your statutory consumer rights.

In this policy:

• “Maths Cool”, “we”, “us” and “our” mean Maths Cool Education Ltd;
• “you” means the parent or legal guardian who made the booking;
• “student” means the child participating in the assessment or programme;
• “class” includes a live online lesson or assessment;
• “programme” means a course, introductory programme, Maths Circle or other paid educational service.

2. Free assessments
There is no charge for the initial Maths Cool assessment.
You may cancel or rearrange a free assessment by contacting us as soon as reasonably possible.
We ask parents to provide at least 24 hours’ notice where possible so that the appointment can be offered to another family.
Repeated non-attendance or last-minute cancellations may affect our ability to offer another free appointment.

3. Four-week introductory programme
The four-week introductory programme currently includes:

• four live online classes;
• 90 minutes per class;
• placement in a small group matched by mathematical level;
• relevant learning materials;
• teacher feedback;
• a short progress update for the parent.

The programme costs £89, unless a different price is clearly confirmed before payment.
The price of one class within the £89 programme is treated as £22.25 when a proportionate refund needs to be calculated.
The introductory programme does not renew automatically. Continuing into a year-round Maths Circle requires a separate agreement from the parent.

4. Your statutory cooling-off period
When a consumer purchases a service online, by telephone or through another distance-selling method, they will normally have a legal right to cancel within 14 calendar days without giving a reason.
The cancellation period begins on the day after the contract is made.
If you cancel during this period before the programme has started, you will normally receive a full refund.
If we do not provide the legally required information about your cancellation rights, the cancellation period may be extended as provided by applicable law.
To exercise your right to cancel, you must send us a clear statement that you wish to cancel. You may use the model cancellation form at the end of this policy, but you do not have to use it.

5. Starting a programme during the cooling-off period
A class may be scheduled to begin before the 14-day cooling-off period has ended.
In that case, we may ask you to confirm:
I expressly request that Maths Cool begins providing the programme before the end of the 14-day cancellation period.
If you make this request and later cancel during the cooling-off period, we may deduct a proportionate amount for the classes and other services already provided before we received your cancellation.
For example, where one class from the £89 introductory programme has been completed, the value of that class is £22.25.
If the service has been fully provided during the cooling-off period, the statutory right to cancel may end where you:

• expressly requested that the service begin during that period; and
• acknowledged that the cancellation right would be lost once the service had been fully performed.

A customer who expressly asks for a service to start during the cooling-off period can be charged proportionately for the part already supplied.

6. Cancelling before the introductory programme begins
The following policy applies after any statutory cancellation rights have been taken into account.
At least 48 hours before the first classWhere we receive the cancellation at least 48 hours before the first scheduled class, we will normally provide a full refund.
Less than 48 hours before the first classWhere we receive less than 48 hours’ notice, we may deduct the reasonable and unrecoverable loss directly caused by the late cancellation.
Any deduction will:

• reflect the actual circumstances;
• take account of whether the place could be offered to another student;
• not exceed the value of one class, currently £22.25.

If we fill the place or do not incur a relevant loss, we will not make this deduction.
Cancellation charges and retained advance payments should reflect genuine losses rather than operate as automatic penalties. A blanket “no refunds in any circumstances” term is likely to be unfair.

7. Withdrawing after the introductory programme has started
A parent may withdraw a student after the introductory programme has begun.
Where a refund is due, we will calculate it by taking account of:

• classes already delivered;
• classes the student attended or missed;
• educational materials or individual services already provided;
• reasonable and unrecoverable loss directly caused by the withdrawal;
• the value of the undelivered part of the programme.

Completed classes are not refundable.
Classes that went ahead but were missed by the student are normally treated as provided because the student’s place and the teacher’s time had been reserved.
Any refund for the remaining part of the programme will be calculated fairly. We will not retain more than is reasonably necessary to cover the services supplied and any actual loss directly caused by the cancellation.

8. Missing or rescheduling an individual class
If the student cannot attend a scheduled class, please contact us as soon as possible.
More than 24 hours’ noticeWhere we receive more than 24 hours’ notice, we may offer one of the following:

• a place in another suitable group class;
• access to relevant lesson materials;
• a credit where appropriate;
• another reasonable alternative.

For the four-week introductory programme, we will normally offer no more than one transfer to another class.
Transfers depend on the student’s level, timetable and available group places. They are not guaranteed.
Less than 24 hours’ noticeWhere less than 24 hours’ notice is given, the class will normally be treated as used and will not be refunded or credited.
Non-attendanceIf the student does not attend and no notice is provided, the class will normally be treated as used.
This is because:

• the group class still takes place;
• the place has been reserved for the student;
• the teacher has prepared and made the scheduled time available.

We may make an exception where there has been a serious illness, family emergency or another exceptional circumstance.

9. Illness and exceptional circumstances
We understand that children may become ill and that unexpected family circumstances can arise.
Where a student cannot attend because of:

• serious or prolonged illness;
• hospital treatment;
• bereavement;
• a significant family emergency;
• another exceptional circumstance outside the family’s reasonable control,

the parent should contact us as soon as reasonably possible.
Depending on the circumstances, we may offer:

• a transfer to another suitable class;
• a temporary pause;
• programme credit;
• access to replacement materials;
• a proportionate refund for classes that cannot reasonably be provided.

We may ask for reasonable supporting information where a request relates to a prolonged absence or a substantial refund.

10. Year-round Maths Circles
The cancellation arrangements for a year-round programme will be shown to the parent before enrolment.
The booking information will explain:

• the programme price;
• the billing period;
• whether payment is monthly or for another period;
• the next payment date;
• how to cancel;
• any agreed notice period;
• whether payment renews automatically.

No recurring payment will be taken unless the parent has expressly agreed to it.
Rolling monthly programmesUnless different terms have been clearly agreed, a rolling monthly programme may be cancelled by notifying us before the next billing date.
The student may continue attending until the end of the period already paid for. No further payment will be taken after the cancellation becomes effective.
Fees for the current billing period are not normally refunded simply because the student chooses to stop attending before the end of that period, as the group place remains reserved and available.
We may consider a proportionate refund or credit in cases of serious illness, relocation or other exceptional circumstances.
Fixed-term or prepaid programmesWhere a parent purchases a fixed-term programme or pays for several months in advance, the specific cancellation conditions will be clearly provided before payment.
If a student withdraws, any amount retained by Maths Cool will reflect:

• services already supplied;
• benefits already received;
• reasonable and unrecoverable losses directly caused by the cancellation.

We will not automatically retain payment for future services that we no longer have to provide where doing so would be disproportionate or unfair.

11. Cancelling a recurring payment
Cancelling a Direct Debit, card mandate or payment instruction with a bank does not by itself tell us that the student is leaving the programme.
Please also notify Maths Cool by email so that we can:

• confirm the cancellation;
• update the student’s place;
• prevent unnecessary payment reminders;
• calculate whether any payment or refund remains due.

We will not charge for a new billing period after a cancellation has validly taken effect.

12. Changes requested by a parent
Requests to move a student to another:

• group;
• day;
• time;
• teacher;
• Maths Circle track

are subject to assessment and availability.
We will try to accommodate a reasonable request but cannot guarantee a particular group, teacher or timetable.
A requested transfer does not create an automatic right to a refund where the original booked programme remains available and suitable.
If the student’s needs change significantly, we will discuss the most appropriate next step with the parent.

13. Group placement concerns
Every child begins with an assessment intended to help us recommend a suitable track and level.
If, after the programme begins, the teacher believes another group would be more suitable, we may recommend a transfer.
Where we cannot provide a suitable alternative and the original group is not reasonably appropriate for the student, the parent may cancel and receive a proportionate refund for classes not provided.
A change of group or teacher will not automatically entitle the parent to a refund where:

• the replacement is reasonably suitable;
• the programme content and standard remain substantially the same;
• the student can continue receiving the booked educational service.

14. Classes cancelled by Maths Cool
If Maths Cool cancels a class, we will normally offer:

• a replacement class;
• a rescheduled class;
• a suitable alternative group;
• programme credit; or
• a proportionate refund.

The parent will not be required to accept a replacement class that is materially unsuitable.
Where we cancel a programme before it begins and cannot offer a suitable alternative, we will provide a full refund.
Where we permanently cancel a programme after it has begun, we will refund the amount paid for the classes or services that have not been provided.

15. Teacher absence
If the scheduled teacher is unavailable, we may:

• provide a suitably qualified substitute;
• reschedule the class;
• offer another suitable class;
• provide credit;
• issue a proportionate refund.

The use of a suitably qualified substitute teacher does not by itself create a right to a refund.
If no suitable replacement or rescheduled class can be provided, we will refund or credit the affected class.

16. Minimum group size
A programme may require a minimum number of students in order to operate effectively.
If a group cannot begin or continue because the minimum number is not reached, we may offer:

• another suitable group;
• a revised start date;
• a different programme;
• a full refund for a programme that has not begun;
• a proportionate refund for classes not provided.

We will not require a parent to accept a materially different programme.

17. Technical problems Problems on the student’s side
A class will not normally be refunded where the student cannot participate because of:

• an unstable home internet connection;
• an unsuitable or faulty device;
• forgotten passwords or login details;
• blocked access caused by device settings;
• failure to install or update required software;
• local power failure;
• a microphone or camera problem at the student’s location.

The student may still receive available lesson materials.
Where the problem is reported promptly, we may try to offer a reasonable alternative, but this is not guaranteed.
Problems on the Maths Cool sideIf a significant technical failure on our side prevents us from delivering a material part of the class, we will offer:

• a replacement class;
• a rescheduled class;
• programme credit; or
• a proportionate refund.

Minor interruptions that do not materially affect the educational value of the class will not normally result in a refund.

18. Removal from a programme
Maths Cool may suspend or remove a student where there is:

• a serious safeguarding concern;
• bullying, harassment or discriminatory behaviour;
• repeated serious disruption;
• abusive or threatening conduct;
• deliberate misuse of an online platform;
• unauthorised recording or distribution of classes;
• a serious or repeated breach of our Terms and Conditions.

Where appropriate, we will normally:

1. raise the concern with the student;
2. contact the parent;
3. explain the required improvement;
4. provide a reasonable opportunity to resolve the issue.

Immediate suspension or removal may be necessary where there is a serious safety, safeguarding or security concern.
Where participation is ended, we will consider any refund for unused classes fairly. We may deduct only:

• the value of services already provided;
• reasonable losses directly caused by the breach;
• other amounts that may lawfully and fairly be retained.

Removal from a programme does not automatically mean that all unused fees will be withheld.

19. Educational outcomes
A refund will not normally be provided solely because a student:

• does not achieve a particular UKMT score;
• does not qualify for a competition;
• does not receive a medal or certificate;
• does not achieve a particular school grade;
• progresses more slowly than expected;
• finds the work more or less difficult than anticipated.

Maths Cool does not guarantee particular competition, examination or academic results.
However, we remain responsible for supplying our educational services with reasonable care and skill and in accordance with the programme information provided to the parent.
Where a service has not been provided with reasonable care and skill, applicable consumer rights may include repeat performance or an appropriate reduction in price.

20. Dissatisfaction with a class or programme
If you believe that the service has not been provided as agreed, please contact us promptly and explain:

• what happened;
• which class or programme was affected;
• when the issue occurred;
• the outcome you are seeking.

Where appropriate, we may offer:

• an explanation;
• teacher feedback;
• a change of group;
• repeat performance;
• a replacement class;
• programme credit;
• a proportionate price reduction;
• a full or partial refund.

We will consider the nature and seriousness of the problem, whether it can reasonably be corrected and the part of the service already provided.
Nothing in this policy removes your statutory rights under the Consumer Rights Act 2015.

21. Circumstances outside our reasonable control
A class or programme may occasionally be affected by events outside our reasonable control, including:

• widespread internet or platform outages;
• power failures;
• severe weather;
• natural disasters;
• public-health emergencies;
• government restrictions;
• civil disturbance;
• unexpected serious illness;
• major disruption affecting essential service providers.

We will take reasonable steps to reduce the disruption and inform parents.
Where we cannot provide the affected service within a reasonable time, we will offer a suitable alternative, programme credit or a proportionate refund for the part not provided.

22. Promotional prices and discounts
A statutory refund will be based on the amount actually paid.
Where a programme was purchased using:

• a discount;
• promotional code;
• introductory price;
• account credit;
• special offer,

the refund will not exceed the amount paid for the affected part of the programme.
Promotional credit has no cash value unless we expressly state otherwise or applicable law requires a monetary refund.

23. How to request a cancellation or refund

Please include:

• the parent’s full name;
• the student’s name;
• the programme or group;
• the booking or payment date;
• the reason for the request, where relevant;
• the classes affected;
• the preferred contact details.

You do not need to give a reason when exercising a statutory cooling-off right.
A cancellation is effective when we receive a clear statement that you wish to cancel. Asking a general question about cancellation does not necessarily cancel the booking.
We will acknowledge the request and may ask for additional information where necessary to identify the booking or calculate the refund.

24. Refund method and timing
Approved refunds will normally be made:

• through the original payment method;
• to the person who made the payment;
• in pounds sterling, unless otherwise agreed;
• without an additional refund administration charge.

Statutory refunds will be processed without undue delay and within the time required by law. Refunds following cancellation during the statutory cooling-off period are generally due within 14 days after the business is informed of the cancellation.
Other approved refunds will normally be processed within 14 calendar days after we confirm the amount.
The bank or payment provider may take additional time to display the refund in the payer’s account.
We are not responsible for currency conversion differences or charges imposed independently by the customer’s bank.

25. Complaints about a refund decision
If you disagree with a cancellation or refund decision, please email:
math.cool.rus@gmail.com
Include “Refund complaint” in the subject line.
Please explain:

• the decision you disagree with;
• why you believe it should be reconsidered;
• any relevant dates or evidence;
• the outcome you are seeking.

We will normally acknowledge a formal complaint within five working days and aim to provide a substantive response within 20 working days.
The complaint will be considered under our Complaints Procedure.

26. Changes to this policy
We may update this policy for future bookings where:

• our programmes change;
• our billing arrangements change;
• new services are introduced;
• legal or regulatory requirements change.

The version in effect when a booking is made will normally apply to that booking.
We will not retrospectively introduce a material restriction that unfairly disadvantages a parent who has already purchased a programme.
The latest version will be published on the Maths Cool website with the revision date shown at the top.
